Aignostics GmbH ("we", "our", or "us") is committed to protecting your personal data and respecting your privacy.
In this privacy statement, we provide you with the legally required information on the processing of your personal data and on your rights based on the applicable data protection provisions – in particular the EU General Data Protection Regulation (“GDPR”) and the German Federal Data Protection Act (Bundesdatenschutzgesetz – “BDSG”).
This privacy statement relates to the processing of personal data for the purposes of the application process for applications through TeamTailor.

2. Personal Data We Collect
By submitting an application via our recruitment website, you express your interest in taking up work with us. In this context, you transmit personal data, which we will use and store exclusively for the purpose of your job search / application process.
In particular, the following data is collected during this process:
- name (first and last names)
- email address
- phone number (optional)
- availability and salary expectation
- location (city)
- LinkedIn profile (optional)
- GitHub profile (optional)
- any documents uploaded by you
- channel through you found us
Furthermore, you can choose to upload expressive documents such as a cover letter, your CV and reference letters. These may contain additional personal data such as date of birth, address etc.
3. Purpose and Legal Basis for Processing
First, we process your data to assess your skills, qualifications, and suitability for the role you applied for, as well as to communicate with you throughout the recruitment process and coordinate interviews. We process and retain certain operational data (e.g., meeting requests, messages, and scheduling information) as necessary for the functioning of our systems and to maintain service integrity. We may also verify the information you provide, including conducting reference or background checks where applicable. These processing activities are based on Article 6(1)(b) GDPR, as they are necessary to take steps at your request prior to entering into an employment contract.
In certain cases, we may also process your personal data to comply with legal or regulatory obligations, for example in relation to employment, tax, or social security requirements. This processing is based on Article 6(1)(c) GDPR.
4. Recipients/Categories of Recipients
Your personal data will generally be processed within Aignostics. Access to your data is restricted to authorized departments and organizational units, depending on the nature of the information collected. In particular, this includes employees directly involved in managing and evaluating your application as part of the recruitment process.
In addition, we may transfer your application data to external third parties only where permitted by law. These external recipients primarily include service providers engaged by us to support the application process. Such service providers process personal data exclusively on our behalf and in accordance with our instructions. We have concluded in relation to our DPA that the necessary data processing agreements with all such providers to ensure that your personal data is handled securely and in full compliance with the GDPR.
5. International Data Transfer
Your personal data is generally processed within the EU/EEA and all transfers comply with applicable data protection laws.
6. Retention Period
We will retain your personal data for a maximum period of 90 days after the conclusion of the recruitment process. After this period, you will receive an explicit email to opt-in to further extension of your 90-day retention period.
7. Mandatory or required provision
The provision of your personal data is voluntary. However, please note that we are only able to process your application if you provide us with certain essential information, including your name, email address, and telephone number. Without these details, we will not be able to contact you or proceed with your application.
8. Automatic Decision Making
We do not make recruitment decisions based solely on automated processing or profiling. While certain applications may be automatically categorized or flagged (for example, based on legal, geographical, or role-specific requirements), these steps do not result in a final decision. All applications are ultimately subject to human review before any recruitment decisions are made.
9. Your Rights under the GDPR
You have the following rights:
- Right of access – You may request confirmation as to whether we process your personal data and, if so, obtain a copy of that data along with additional information about how it is used.
- Right to rectification – You have the right to request the correction of any inaccurate or incomplete personal data we hold about you.
- Right to erasure (“right to be forgotten”) – You may request the deletion of your personal data where there is no legal basis for us to continue processing it.
- Right to restrict processing – You have the right to request that we limit the processing of your personal data in certain circumstances, for example, while we verify its accuracy or handle an objection.
- Right to data portability – You may request to receive the personal data you have provided to us in a structured, commonly used, and machine-readable format, and, where technically feasible, request that we transmit this data to another controller.
- Right to withdraw consent – Where processing is based on your consent, you have the right to withdraw it at any time without affecting the lawfulness of processing carried out before the withdrawal.

10.Right to Lodge a Complaint
You have the right to lodge a complaint with the competent data protection supervisory authority under the GDPR.

11. Information about your right to object according to Article 21 of the GDPR
You have the right, at any time and for reasons relating to your particular situation, to object to the processing of your personal data carried out on the basis of Art. 6(1)(f) GDPR (processing for the purposes of legitimate interests).
If you lodge an objection, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing is necessary for the establishment, exercise, or defence of legal claims.

12. Concluding provisions
We reserve the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the application process or other processes.
